The Contracts/Operations Coordinator reports to the Director of US Operations and is responsible for supporting US Operations with the review of large contracts, set-up of jobs to ensure billing is following contractual requirements and assisting the Director of Business Development in building Quotes and Contracts to maximize profitability for the company. This role will support coordinating Operations once work commences to ensure all contractual requirements are followed.

SPECIFIC ACCOUNTABILITIES:

Safety

  • Work safely and follow all rules and procedures.
  • Understand and adhere to the Metalogic safety culture/environment including behaviour-based safety.
  • Attend and participate in all safety meetings as required.
  • Complete all required safety orientation and/or training.

Project Support

  • Ensure proper reconciliation of invoices for clients to forward to finance.
  • Responsible for ensuring that client contractual requirements are being met – This would be completed through the auditing of pre-job planning and project set-up
  • Responsible for overseeing the coordination and completion of projects on time within budget and scope, including preparing and reviewing reports regarding project status. - This would be monitored through key performance indicators.
  • Oversee the implementation and execution of systems and process development to achieve profitable, safe and efficient operations.
  • Continuously support in creating, updating and reviewing project related documentation.
  • Conduct operational planning and control activities for superior service delivery.
  • Identify gaps and work with the Operations supervision and Asset Manager / Procurement to obtain the necessary resources in order to complete projects including obtaining / delivering approvals.
  • Estimate and track project costs, ensuring adherence to project budget and schedule and accountability for any variances.
  • Support the Project Administrators and Supervisors in reviewing the project operational deliverables and forecasting and scheduling technical resources for field service.

Other Duties

  • Completion of pre-job set-up in Aimsio for large projects
  • Support Comdata/per diem functions and reconcile against billable projects
  • Support in Contract Review and Business Development for quotes as required
  • Obtain Certificates of Insurance (COI’s) required per client contract and upload into ISN
  • Work with AStar to manage Operator Qualifications (OQ’s)
  • Assist and support the Director of Operations as required.
  • Participate in various tasks and projects, as assigned.
  • Other duties as may be assigned.
  • Periodic travel to other offices as required.
